Deleting Submission and Viewing the Deletion History

Overview

The Submission delete capability allows the Analyst to keep the Submissions list table updated without any unwanted items. The Validation Analyst can delete a Submission when the Submission is unnecessarily created or is no longer required to be there in the system. The deleted Submission will not be listed on the Submissions page list table. The Validation Analyst can also view the deletion history.

Notes:

  • The Submissions with a Status value Published and Processing cannot be deleted.

  • When deleting a Non-Coverage Gap or Coverage Gap Submission that includes a DUP error, where one of the lines in the duplicate match is in another Submission, the DUP linkage will be removed from the line in the other Submission. The status of the line in the other submission will be revised because of this update. The KPI displaying Line count( included/excluded), Amount, and Units will be updated based on the latest line status. The impacted lines from other Submissions will capture the removal of DUP linkage in the line history.

  • When deleting a Non-Coverage Gap Submission that includes a CDP error, where one of the lines in the debit/credit match is in another Submission, the CDP error will be removed from the other line in the other Submission, and the status of the other line in the other submission might be updated because of this update. The KPI displaying Line count( included/excluded), Amount, Units will be updated based on the latest line status. The impacted lines from other Submissions will capture the removal of CDP linkage in the line history.

  • When deleting a Non-Coverage Gap Submission that has caused a Reversal(R), the reversal indicator C-Contains Reversals will be removed from the other Submission. The KPI displaying Line count(included/excluded), Amount, Units will be updated based on the latest line status for the other Submission. The impacted lines from other Submissions will capture the removal of reversal linkage in the line history.

  • When deleting a Non-Coverage Gap Submission that Contains reversal (C), the reversal indicator R- Caused Reversals will be removed from the other Submission. The KPI displaying Line count( included/excluded), Amount, Units will be updated based on the latest line status for the other Submission. The impacted lines from other Submissions will capture the removal of reversal linkage in the line history.

How to Delete Selected Submission

The Analyst can perform the Delete Submission action for either one or multiple selected Submissions.

Note:

  • When the Validation Analyst selects one Submission to delete, the single Submission will be evaluated to determine whether it can be deleted. If so, the delete options will be available for the selected Submission.
  • When the Validation Analyst selects multiple Submissions to delete, they will be evaluated to determine whether they can be deleted. The delete option will be available if all comply with the deletion rule. If at least one Submission out of all selected Submissions is not compliant with the deletion rules, the delete option will be disabled.

For deleting a Single Submission row:

  1. Right-click the Submission row in the list table.
  2. Select the Delete option.

  3. The Delete submissions window is displayed. Enter the reason in the Reason to delete text box.
  4. Click the Delete button. The Delete button is enabled only after the reason to delete is specified.

For deleting multiple Submission rows:

  1. Select the submission rows in the list table by using the checkbox.
  2. Click the Delete icon.

  3. The Delete submissions window is displayed. Enter the reason in the Reason to delete text box.
  4. Click the Delete button. The Delete button is enabled only after the reason to delete is specified.

Viewing the Deletion History of Submissions

The viewing deletion history feature allows the Validation Analyst to view the list of Submissions deleted over the selected period using the period filter. When a user deletes a Submission, the Validata application retains critical historical data related to the deleted submission. On the Deletion History window, the rows are sorted by the Date & Time column in descending order.

To view the deletion history:

  1. Click the overflow menu (three stacked dots) on the Submissions page.
  2. Select the Deletion History option.

    The Deletion History window is displayed.
  3. In the Deletion History window, the list of deleted Submissions is displayed. 
  4. In the Deletion History, you can do the following :
    • Search for a deleted Submission by specifying the Submission Name in the search bar. DeletionHistory_SerachText box.jpg
    • In the Deletion History list table, all the deleted Submissions are displayed by default. You can filter the list by using the period filter. 
      For example, to view the Submissions deleted in the last 30 days, select the Last 30 days option.

When you filter the deleted Submissions list using a period option, the application filters the data, including the current day, based on the Analyst's time zone.
For example, when you select Last 30 days, the application filters data within the current date plus 29 prior dates based on the user’s time zone.

  • Click the Clear icon to clear the applied filter.

In the Deletion History window, the following details are displayed:

  • Submission Name: Name of the Submission.

  • Submission ID: ID of the Submission.

  • Contract Name: The name of the Contract associated with the Submission.

  • Contract ID: The ID of the Contract associated with the Submission.

  • Transaction Type: Displays the type of the Submission i.e Commercial, Medicaid, Coverage Gap, or Tricare.

  • Date Deleted: The date when the Transaction was deleted. 
    Note: The value is displayed in the UTC timezone. 

  • Deleted By: Name of the user who deleted the Submission.

  • Deletion Reason: Displays the reason details specified by the user while deleting the Submission

  • Date Created: Date when the Submission was created.
    Note: The value is displayed in the UTC timezone.  

  • Status Before Delete: Displays what was the Status of the Submission when it was deleted.
